Settings
Settings — reached through the gear at the top right of the project overview — cover the device and the business: appearance, backup, units, letterhead and everything that has to appear on an invoice. Personal details, account and plan sit on the profile page, reached through the first card. Every card is available on every plan; what you produce with the details, such as quotations and invoices, depends on the plan (chapter “Plans”).
How the screen is laid out
- Profile — name, account state and plan; tapping it opens the profile page
- Help — with the entry “User manual”
- Legal — Imprint, Privacy policy, Terms of use, Right of withdrawal and “Open-source licences”
- Error reports — the switch “Send error reports”
- Appearance — System (the default, follows the device), Light or Dark
- Backup
- Storage for photos and media — the usage, for display only
- Reference marker
- Length unit — below it “Decimal places for quantities”
- Interfaces — with the entries “Keys and webhooks” and “Interface (API)”
- Number blocks and gaps
- Company / header
- Electronic invoice
- Logo
- Accent colour and footer
- Save — below it the name and version of the app for queries
The business details from Company / header through to the footer are only taken over by the “Save” button right at the bottom, in one go and with the confirmation “Saved”. If you leave the screen without saving, the changes to them are lost, without the app asking. Error reports, appearance, backup, reference marker and length unit, by contrast, take effect at once.
With the cloud, the app synchronises the business details within the team — from “Company / header” through to the footer, the logo included (see “Logo, accent colour, footer”). They are maintained by owners and admins; if someone in another role changes them, the change stays on their device. Without the cloud they apply only on this device; a backup does include them. In the browser they are kept in the browser’s storage. If the browser provides none, for example in a private window, only what the cloud synchronises comes back after a reload — if you write a quotation or an invoice there, check these cards first.
Help
The “User manual” entry opens this manual in the language set, in the browser; that needs an internet connection. If the browser cannot be opened, the app shows the address so that you can call it up by hand.
Legal
“Imprint”, “Privacy policy”, “Terms of use” and “Right of withdrawal” open the page in the language set, in the browser; this needs an internet connection. If the browser cannot be opened, the app shows the address so that you can call it up by hand.
“Open-source licences” shows the list of free software that Aufmasstool builds on, right in the app and without an internet connection. The search field finds entries by name, version or licence; tapping an entry shows its licence text, or a note explaining why there is none together with the author, if the package names one. Back in the list, your search is kept. The list covers the app’s software packages, including the tools it is built with, plus the Inter typeface and the Google services for AR measuring on Android. Libraries that are only added when the iOS and Android versions are built are not listed yet.
Error reports
The “Send error reports” switch is off by default. When it is on, a technical report goes to the operator after an unexpected error — for example when a screen crashes or a process fails without a visible message. That helps to find the error.
- Sent along are the kind and text of the error message, the technical call trace with function and screen names, the time, the version of the app and of its database, the operating system, the kind of device, the screen opened last and whether a cloud sign-in exists (yes or no only).
- Not sent are the email address, the account ID, photos and the stored contents of the projects. Beforehand the app removes from the text of the error message whatever is recognisable as a pattern: email addresses, amounts, measured values, IBAN, IDs, file paths, postcode with town and anything in quotation marks. A name that stands in the middle of a sentence without such a pattern may remain.
Switching it off withdraws the consent; reports not yet transmitted are then discarded. In a browser that is not storing the app’s data permanently at the moment, the switch is off again after a reload.
Backup
What is saved is the complete database of this device: projects, measured values with their history, 3D room scans, bills of quantities with prices, quotations and invoices, participants with addresses, the business details (including IBAN and tax number), the name and email address of the account and the number blocks for document numbers. Photos are included as a preview image at most, videos and audio recordings only with their title and note. Not included are the sign-in and — in the ordinary backup — the recordings themselves.
A backup does not belong in other people’s hands. Only pass it on to people who may see this data.
- Create and share backup — creates the backup file and hands it out through the share menu, in the browser as a download. The file name begins with “aufmass-backup” and carries the date and time. On smartphone and tablet a copy also stays in the app's own storage.
- Restore backup — after a confirmation, replaces all current data with the chosen file. On smartphone and tablet the app first saves the current state, in the browser it does not: if you want to keep it, download it beforehand.
- Create & share backup with photos and Restore backup with photos — only on smartphone and tablet: the same backup together with photos, videos and audio recordings. It is considerably larger; in return restoring it brings the backup’s recordings back.
Backup blocked for readers without export permission. If the device holds a project of a team in which you can only view and the owner has turned off “Export allowed”, the reason appears instead of “Create and share backup” (and instead of “Create & share backup with photos”): a backup contains the entire database and therefore these projects too. This also applies to such a project in the recycle bin and to projects of another team on the device. “Restore backup” remains. Other ways that hand out a backup, such as “Share backup” on a panel at start-up, then report “Backup failed” with the same reason. Exporting individual projects of your own as a file is not affected (chapter “Exporting”, from Pro).
After restoring, the device’s number blocks are closed; whatever they did not assign appears as a gap under “Number blocks and gaps”. Tap “Sync now” once before the next document — until then new document numbers are provisional (chapter “Billing”). Your role in the team is not taken from the backup: without a connection, the role this device last read from the server continues to apply afterwards; if none is stored on the device, the role stays unknown until the server responds (chapter “Projects and structure”). An older backup therefore does not bring back rights that the server no longer reports.
Careful with recordings: if you restore an older backup on smartphone or tablet — a backup with photos as well —, the photos, 3D photos, videos and audio recordings made after that backup no longer belong to any entry. The app keeps them for at least 14 days and then clears them away at one of the next starts; if, within that time, you restore a backup made after they were taken, they are kept. The confirmation before restoring states this period. If you want to be sure to keep the recordings, hand them out beforehand (chapter “Photo documentation”).
On smartphone and tablet the app also creates a backup by itself at most once a day; when that last happened appears below the buttons. It keeps the seven most recent files but does not offer them for selection — in an emergency, what counts is the file you stored yourself. In the browser there is no automatic backup.
Android does not include the app in its backup. The Android system backup to the Google account takes no data from Aufmasstool. Without the cloud, the data is therefore gone after a reinstallation, including the copies in the app’s own storage. Regularly store a file outside the app with Create and share backup, together with photos, videos and audio recordings with Create & share backup with photos.
The app refuses, without changing anything in your data, a file that is not an Aufmasstool backup (“The selected file is not a valid Aufmasstool backup.”) and one from a newer app version — in that case update the app first.
Storage for photos and media
The card shows the usage of all buildings: on this device the measured size of the files including depth maps, in total the sum of all recordings according to their entries, including those held on other devices, and not uploaded the number of recordings that are not in the cloud yet. If there are recordings over 250 MB, a further line gives their number; they stay on this device only (chapter “Photo documentation”). On this device also counts the recordings and buildings in the recycle bin, because their files stay here until they are permanently deleted; in total, not uploaded and the line on recordings over 250 MB only count what is not in the recycle bin. If the browser gives up no storage for files, it says “No media files are stored on this device.”. There is no quota; the card only displays.
Reference marker
For the Photo reference measuring mode the app produces a marker sheet as a PDF for printing: “Print marker for DIN A4”, likewise for A3 and A2 (edge 180, 260 or 380 mm). On smartphone and tablet the share menu then opens, in the browser a download starts.
Print at actual size (100 %), never “fit to page” — otherwise the scale is wrong. A marker that appears too small in the picture is not recognised or is reported as too small; for greater distances the larger sheet is therefore the right one (chapter “Measuring”).
Length unit
Millimetres (mm) (the default), Centimetres (cm) or Metres (m). The setting applies to display and entry when measuring, in wall groups, in the cutout editor, for rotation angle and diagonal, in the measurement history, in the sketches on the measuring screen and in the item list, in the review view of a room scan, when measuring in a photo and in the display of the laser distance meter; which export formats follow it is in the chapter “Exporting”.
Untouched are areas in m² and volumes in m³, as GAEB and REB expect them, what is stored, which stays in metres — switching only changes the display — and building parts: doors and windows always calculate in millimetres under DIN.
Decimal places for quantities
Below it is “Decimal places for quantities” with “2 places (12.35)” and “3 places (12.346)” (the default). This is only the default for new projects on this device; it does not change an existing project. The places are chosen and synchronised per project in billing under Project settings › “Decimal places for quantities” with “change”; a cloned building takes over the places of the original. What the places do is described in the chapter “Billing”.
Interfaces
The card has two entries:
- “Keys and webhooks” opens the area in which a team’s owners and admins issue and revoke keys and set up webhooks (chapter “Working together”). The same area is opened on the profile page by “Interfaces (keys and webhooks)”.
- “Interface (API)” leads to the description of the interface with endpoints, access rights, errors and examples — only with a signed-in account, otherwise with the “Go to the profile” button. The endpoint descriptions are available in German only. The box on keys in it leads through “Manage keys and webhooks” into the same area.
Number blocks and gaps
With a cloud team, the app assigns quotation and invoice numbers from blocks that the server reserves for this device (chapter “Billing”, “Document numbers”). The card lists the blocks of this device with their range, whether they are “In use” or “Closed”, when they were reserved, how many numbers have been assigned and are free, and which gaps there are — so that every gap can be explained. The app reserves blocks at the sync, for owners and admins; before that the list is empty.
In the browser the list is kept in the browser’s storage. If the browser clears its site data or is not storing anything at the moment, the list is gone. The server keeps the reserved ranges, but the gaps in them are then no longer shown here — if you have to explain them, note them down beforehand.
Company / header
Company name · Address (multi-line) · Phone · Email · Website · USt-IdNr / tax number · Bank details
Apart from the bank details, they form the letterhead above PDF reports, quotations and invoices. The bank details appear at the end of the quotation and the invoice, together with IBAN and BIC from “Electronic invoice”.
The address is deliberately multi-line free text, for a post-office box and additional lines, say. If it is left empty, quotation and invoice use the street, postcode and town from “Electronic invoice”; an empty “USt-IdNr / tax number” is replaced by the USt-IdNr. or, failing that, the tax number.
Electronic invoice
An XRechnung calls for street, postcode, town, country code and bank details each as a field of its own. This card carries them in addition to the letterhead.
| Field | Note |
|---|---|
| Street and house number, Postcode, Town or city, Country | Address of the party issuing the invoice. The country is “DE” if left empty. |
| USt-IdNr. | |
| Tax number | A tax number or a USt-IdNr. is mandatory on every invoice (§ 14 Abs. 4 Nr. 2 UStG). |
| Contact person, Telephone of the contact person | Mandatory in the electronic invoice, otherwise the recipient turns it down. With no entry the app takes the company name and phone number from above; the email from “Company / header” serves as the email. |
| Small business (§ 19 UStG) | With the switch on, no newly created document shows VAT, and every new invoice carries the mandatory note; existing documents stay as they are. Tax shown by mistake is owed (§ 14c Abs. 2 UStG). |
| Exemption certificate (§ 48b EStG) | Without one, the client retains 15 % on construction work. With the number on the invoice the deduction does not apply. The note only appears on invoices to businesses and public-sector clients. |
| Certificate valid until | Date from the certificate, as DD/MM/YYYY. Without this date, or if it lies before the invoice date, the note does not appear on the invoice. |
| IBAN, BIC | The app removes spaces when saving. |
The date is read as day, month and a four-digit year, separated by a full stop, a slash or a hyphen — for example 31.12.2028, 31/12/2028 or 31-12-2028. Any other notation counts as “not recorded” when saving, without a message: the field is then empty, and the note is missing from the invoice. So take a look at the field after saving.
Logo, accent colour, footer
- Logo — “Choose logo” opens the photos on the device, in the browser the file picker; “Remove logo” takes it out again. It appears in the header of PDF reports, quotations and invoices. Only a PNG or JPEG image up to 500 KB is accepted; the app rejects any other image right when it is chosen (“The logo must be a PNG or JPEG image.” or “The logo is too large …”). Without a team the logo stays on this device. With a team the app uploads it on “Save”; the team’s other devices take it over after their next sync, a removed logo likewise, and the interface PDF carries it too. Only owners and admins may upload it; for other roles a note below “Saved” says that the logo stays on this device only. If uploading does not work at the moment, the note there says that the app will try again at the next sync.
- Accent colour — as
#RRGGBB, six places, with a colour box as a preview. In the PDF it colours headings, the header and the dividing lines; if empty, the standard colour applies. With the cloud it applies to the whole team. An incomplete entry is objected to when saving (“Invalid colour — format: #RRGGBB.”), and the whole block stays unsaved until it is right. - Footer — multi-line, for the commercial register and the management, for example. It appears once at the end of a PDF report and of the quotation and the invoice, not on every page.
Two-factor sign-in
It sits on the profile page under “Sign-in and security”, next to “Change password” and “Change email address”. When it is on, this app asks at every sign-in for a six-digit code from an authenticator app in addition to the password.
- “Set up two-factor” shows a code to photograph with the authenticator app and a “Key to type in”. The code the authenticator app then shows is entered and confirmed with “Check code”. The key is the second factor — do not pass it on.
- “Create recovery codes” — the codes appear this one time only; note them down at once and keep them safe. “Create new codes” replaces them later.
- Without the phone, “Phone not at hand? Enter a recovery code” at sign-in leads into the account. This removes the second factor, all codes on the list expire, the unused ones too, and all sessions are signed out. After that, sign in again with the password and set up the second factor again, together with new codes. Without recovery codes, losing the phone leads back into the account only through the operator.
- “Turn off two-factor” — after that the password is enough again; existing recovery codes are deleted in the process.
The server can require the code as well, as soon as the operator switches that on; the app cannot see whether this has happened. With the cloud, the app halts the sync for as long as a sign-in has not yet confirmed the second factor (chapter “Working together”).
The question “Activate cloud sync again?” can also ask for the six-digit code first after “Sync now” if the current sign-in has not yet confirmed the second factor; the cloud is then activated again only after “Check code”.
What is not on this screen
- The language. The selector sits in the header of the project overview and shows the code of the current language; the choice is Deutsch, English, Polski, Español and Français. It does not affect documents already created — each document keeps its own language (chapter “Billing”).
- Account, signing in, plan, data export and deleting your account — all on the profile page.
- The contract type and the over-measurement rule under VOB/C. Both are set per project in billing and synchronised with the cloud (chapter “Billing”).
